Instructions for PA Permitees using the Pennsylanvia Shared Sandbox for testing the Product Master Revamp

PURPOSE

This sandbox environment is available to all permittees in Pennsylvania for testing the upcoming Product Master (PM) update, which eliminates the parent-child hierarchy and introduces changes to how package sizes are managed. This is a shared, non-production environment meant solely for testing and training.

WHAT’S CHANGING

Previous Behavior:

  • When a Product Master was created with the Pre-Pack checkbox selected, child Product Masters were automatically generated for each corresponding size (e.g., 1g, 3.5g, 7g).

New Behavior:

  • Each Product Master now supports only one package size.

  • No child products are auto-created.

  • Users must manually create a separate Product Master for each size.

  • Use the “Save and Duplicate” function at the bottom of the PM creation page to speed up this process.

Note about Product Master IDs:

Current workflows relying on the Parent Product Master ID will need to transition to the Product Master ID, since newly created Product Masters will not have parent records.

Workflows to verify include:

  • Analytics

  • Integrations (like online menus)

  • other workflows that rely on Parent Product Master ID

CRITICAL WARNINGS

1. Do Not Enter Proprietary or Confidential Information
This is a shared environment. All users can view data entered here.

  • Do not use real customer data, license numbers, financial information, personal information (PII), or proprietary content.

2. Shared Access and Visibility
This environment is accessible to all permittees in the State of Pennsylvania.

  • Do not modify or delete data created by others.

  • Prefix your test data with your organization’s name or initials.

HOW TO USE THE SANDBOX

Environment Access

  1. Contact Your Organization Administrator: Access to the PA Sandbox is managed by your organization. Login credentials are sent to Org Admins. If you do not have access, ask your Org Admin to grant you Sandbox access or share the credentials with you.

  2. Log In to the Sandbox: Use the credentials provided by your Org Admin to log in to the PA Sandbox environment.

Creating Product Masters

  • Create one Product Master per size (e.g., 1g, 3.5g, 7g).

  • Use “Save and Duplicate” to quickly create variations.

  • Test how these records function in workflows like labeling, sales, and reporting.- Navigate to Product Masters: After logging in, go to the Home Page, access the 'Products' section, and click on 'Product Masters' to view and manage the new Product Masters.

Use Only Fictitious Test Data
Examples:

  • Product Name: “{Organization Name} - Blue Dream Prepack"

    • Prefixing your data with your Organization Name in the Sandbox is a recommendation and will not be required in your production environment

  • Product ID: “XYZ-TEST-3.5G”

  • Price: $10/GR

  • Vendor Cost: $1/GR
