You can send out your test packages for initial testing and stability testing through a specific type of Sales Order.
If you are a lab facility operating in Pennsylvania, see How to Add or Edit Test Results.
Note: Test results are linked to batches rather than individual packages. This means that when the lab adds test results to a package, the results will apply to all packages in the same batch.
Note: Products in the Flower category must be assigned to the Finished Flower subcategory in order for passing test results to be maintained.
Prerequisites
You should understand the general plant harvesting workflow before continuing.
Before you can complete this workflow, you must have created lots from a harvest batch and marked at least one of the lots as a test package while doing so. If you didn't mark one as a test package, you can follow the procedure again to create another lot and mark it as a test package in step 5.
1. Sending out the First Sample for Testing
Use a Sales Order with the Order Type set to "Lab Partners" to send out samples for testing:
Open the App Drawer, expand the Supply Chain menu and click Create Sales Order.
Create the sales order:
In the top section, fill in the required fields as follows:
Order Type: Lab Partners
Partner Name: The partner organization the sample will be sent to
If the partner is not displayed in the drop-down menu, modify the partner's profile and add the Sell To or Lab option to the Partner Type field.
Partner Facility: The specific lab of the partner organization the sample will be sent to
If the facility is not displayed in the drop-down menu, modify the partner's profile and add the facility.
Date Ordered: The date you ordered the test
Date Expected: The date you expect the test results
In the Order Items section, specify the sample that will be sent:
From the Item drop-down menu, select the product master of the sample. The Requested Amount field is then displayed.
Note: For a Flower product, ensure it is a product in the Finished Flower subcategory in order for passing test results to be maintained.
In the Requested Amount field, enter the quantity of the single sample to be sent for testing.
The sample amount should be one third of its test lot quantity, plus any additional quantity the lab requests to complete stability testing in the future.
To add a sample from another product master, click the Add button (+).
From the Transfer Type drop-down menu, select "Wholesale".
Save the Sales Order:
Click Save to add the Sales order to the Active Sales Orders tab on the Sales Orders page. You can come back to it later to complete the transfer.
Click Complete Transfer to save the Sales Order and immediately go to the Complete Transfer page.
Complete the transfer as follows:
Fill out the fields in the Driver Information, Vehicle Information, and Destination sections.
In the Transfer Packages section, scan the barcode of the sample package into the Scan field [img scan] or select the package ID from the Package Id drop-down menu.
To add another package, click the Add button (+).
In the Transfer Status section, set the Status to "Out for Delivery".
Click Save.
When the lab receives the transfer, update the Transfer status to "Completed".
2. Importing and Viewing Test Results
To import the test results of only one package, start at step 4.
Open the App Drawer and click Tests.
Click Import Results, then click OK to close the notification that appears.
Click Update Search to refresh the list and verify the results were imported.
Open the App Drawer and click Inventory.
In the search field, enter the package ID whose test result you want to view.
If the package is not found, open the Inactive Inventory tab and search again. (Packages whose inventory is completely used up are considered inactive.)
Click the batch to expand its row and display the package, then click the package to expand its row and view the test results ("passed" or "failed").
To see an in-depth breakdown of the lab results, click Show Results.
Print out new package labels as needed. The package labels always use the newest results.
Note: Test results are linked to batches rather than individual packages. This means that when the lab adds test results to a package, the results will apply to all packages in the same batch.
3. Retesting
If the first sample fails
If the first sample fails the lab test, send a second sample in the same way first sample was sent with the following requirements:
When creating the Sales Order, select the same lab that the failed result came from.
When specifying the quantity to send, use half of the remaining package weight.
When completing the transfer, ensure the package ID is the same as the failed package.
When the results are ready, import the results in the usual way.
If the second sample fails
You cannot request a sample to be removed from quarantine if the second sample fails. Discard the lot as appropriate.
If the second sample passes
If the second sample passes the lab test, send a third sample in the same way the first sample was sent with the following requirements:
When creating the Sales Order, select a different lab than the one the initial failed result came from.
When specifying the quantity to send, use all the remaining package weight.
When completing the transfer, ensure the package ID is the same as the failed package and the second package that passed.
When the results are ready, import the results in the usual way.
Note: Test results are linked to batches rather than individual packages. This means that when the lab adds test results to a package, the results will apply to all packages in the same batch.
If the third sample passes
Contact your Regional PADOH Compliance officer and let them know you have a lot with 1 failed and 2 passed test results you would like to have released form quarantine. Provide them the Tracking IDs for both the harvest and its test lot
If they determine that the lot can be used, they will release the quarantine.
After an hour the product will be able to be used.
If the test sample came from a harvest, you can now create a lot that is not classified as a test lot.
If they decide that the sample is not to be used, they will inform you to destroy the lot.
Note: Test results are linked to batches rather than individual packages. This means that when the lab adds test results to a package, the results will apply to all packages in the same batch.
